Gmail

How to set up your email signature in Gmail (web).

Opening Signature Settings

  1. Open Gmail in your browser
  2. Click the gear icon (⚙) in the top-right corner
  3. Click See all settings
  4. Scroll down to the Signature section

Creating a New Signature

  1. Click + Create new
  2. Enter a name for your signature (e.g. "Work" or "Personal")
  3. Click OK

Pasting Your Signature

  1. In the signature editor, select all existing content (if any) with Ctrl + A (or Cmd + A on macOS)
  2. Paste your copied signature with Ctrl + V (or Cmd + V on macOS)

Gmail's editor supports HTML paste, so your signature should appear with full formatting - images, links, and styles intact.

Setting Default Signature

Below the signature editor, you'll find the Signature defaults section:

  • For new emails use: select your newly created signature
  • On reply/forward use: select the same signature (or "No signature" if you prefer)

Saving

Scroll to the bottom of the settings page and click Save Changes.

Troubleshooting

Images appear broken

Gmail requires images to be hosted externally. Make sure your signature uses hosted image URLs and not base64-encoded images.

Formatting looks different after saving

Gmail strips some CSS properties. The Email Signature Builder generates Gmail-compatible HTML using inline styles and table-based layouts to prevent this.

Signature doesn't appear on mobile

The Gmail mobile app uses the same signature settings as the web version. If your signature was set using the steps above, it will also appear in emails sent from the mobile app. Note that the Gmail mobile app also has a separate Mobile Signature setting which is plain text only.
